
Job Summary: The Event Operations Supervisor is responsible for planning, coordinating, and executing events from start to finish across the Kelsey portfolio. This role involves managing all operational aspects of events, ensuring they run smoothly and efficiently, and delivering a high-quality experience for attendees, exhibitors and to budget. The Event Operations Supervisor works closely with clients and internal teams to ensure all event requirements are met.
Key Responsibilities:
- Event Planning and Coordination:
- Develop comprehensive event plans, including timelines, budgets, and resource allocation.
- Coordinate with the Event Director to understand their event objectives, requirements, and expectations.
- Liaise with the sales team, exhibitors, suppliers, and contractors to secure
- necessary services and equipment.
- Work closely with the sales team to deliver the floorplan and ensure all is signed off with the venue and safety officer.
- Conduct site visits and inspections to ensure venues meet event specifications and standards.
- Be up to speed with key venues, looking for new venues for existing events and any new possible launches.
- Logistics Management:
- Oversee the setup, execution, and breakdown of events, ensuring all logistical aspects are handled efficiently, safely and within budget and timings.
- Manage transportation, accommodation, and catering arrangements for event participants.
- Ensure compliance with health, safety, and legal regulations at all event locations.
- Team Leadership:
- Recruit, train, and supervise event staff and volunteers.
- Assign tasks and responsibilities to team members, ensuring clear communication and coordination.
- Monitor team performance and provide feedback to ensure high standards of service delivery.
- Budget Management:
- Develop and manage event budgets with the Event Director, ensuring cost-effective use of resources and maximising any cross-event savings with contractors.
- Raise Purchase orders, log all spends across all events and ensure all financial transactions are accurately recorded and reported to the Event Director.
- Negotiate contracts with vendors and suppliers to secure the best possible rates, spot any possible savings with clients across all events.
- Client and Stakeholder Communication:
- Serve as the primary point of contact for anything on site, addressing any concerns or issues promptly to the relevant Event Director/MD.
- Provide regular updates to the team and stakeholders on event progress and developments.
- Gather feedback on-site via the organisers’ office desk to help evaluate event success and identify areas for improvement.
- Problem-Solving and Crisis Management:
- Anticipate potential issues and develop contingency plans to address them.
- Respond to and resolve any problems or emergencies that arise during events.
- Ensure a calm and professional demeanour is maintained in high-pressure situations.
- Post-Event Evaluation:
- Conduct post-event debriefs with team members and stakeholders.
- Analyse event performance and outcomes against budget, identifying successes and areas for improvement.
- Prepare detailed reports on event metrics, feedback, and financial performance.
Qualifications:
- Proven experience in event planning and operations, with a strong portfolio of successful events.
- Excellent organisational and project management skills.
- Strong leadership and team management abilities.
- Exceptional communication and interpersonal skills.
- Ability to work under pressure and handle multiple tasks and projects simultaneously.
- Excellent financial and project management spreadsheet reporting.
- Flexibility to work irregular hours, including evenings and weekends, as required at shows.
Working Conditions:
- This role is hybrid with a minimum of two days in the office a week at Horncastle to start, and requires travel to various event locations and meetings when needed.
- This role may need to work long hours, particularly during the lead-up to and during events, with overnight and weekend stays (paid for).
- Physical stamina may be required for setting up and managing event logistics.
This is a role where no two days are the same, working across a multitude of different events from equine to classic bikes & cars, to angling, festivals and modified cars!
